Acumatica UAE E-Invoice processing with Azdan
Create and release an Acumatica invoice, follow its progress in Azdan UAE E-Invoice, and return to the accounting record to finish your review.
Your connection, release rules and return of results are already configured. This guide follows Invoices and Memos (AR301000) for receivables invoices. For an invoice originating from a sales order or project, continue with that existing document. Screens are public Acumatica training examples, mainly from the 2026 R1 Modern UI; their sample amounts and taxes do not represent a UAE setup.
1. Open Invoices and Memos
Confirm the active company and branch. Use the Acumatica search box to find Invoices and Memos, or search for AR301000. Open an existing invoice by Reference Nbr., or select Add New Record (+) and choose Type: Invoice.

Check for an existing record before starting a new invoice. An order, project or service process may already have created it. Do not raise a second AR invoice to send the same transaction electronically.
2. Review the customer and invoice header
Check Customer, Location, Date, Post Period, Terms and Due Date. Enter the customer’s purchase reference in Customer Order Nbr. where applicable, and a useful Description.
- Review Addresses and the customer record used for billing. Confirm the legal name, billing address, tax registration and electronic delivery identifier required by your connection.
- Check the invoice currency and exchange rate if multicurrency is enabled. Confirm the correct branch on the invoice lines as well as the company you are working in.
- Use the agreed credit terms. Do not change the date or posting period merely to bypass a closed-period warning; follow your finance team’s period controls.
- Check that changes to customer information are reflected on this document before release.
3. Check the lines, discounts and tax
On Details, add or review the invoice rows. Check the item or service description, quantity, unit, price, discounts, account and branch. For a value-only service line, check Ext. Price against the approved charge.

Review the line tax categories and the calculated breakdown on Taxes. Check the invoice tax zone where applicable. Reconcile the line amounts, discounts, Tax Total and invoice amount to the approved sale.
If a prepayment or credit is being applied, review Applications. Use the original invoice amount for your Azdan comparison; a remaining balance may be lower because of settlement. Do not use Pay, add an application or create a receipt solely to send an e-invoice.
4. Save, approve and release
Select Save, then Remove Hold when the invoice is ready. Complete any required approval, printing or email step. A Balanced invoice is ready for Release. If an action is not on the toolbar, look in the More (…) menu.
Select Release. A normal unpaid invoice becomes Open; one fully settled by an application can become Closed. Release creates the receivables accounting entries. On Financial, the Batch Nbr. link lets you review the related general-ledger batch.
Your company’s configuration determines when the invoice is picked up by the Azdan connection. Complete any additional release required by that process. Open, Closed, printing and email are not proof of electronic delivery.
If a credit hold or approval blocks release, resolve it through the responsible approver. Avoid changing controls merely to send the invoice.
5. Let the connection prepare the e-invoice
After the configured invoice release, your existing connection prepares the electronic document from Acumatica. You continue to work with the original invoice. Do not enter the same sale again in Azdan.
The connection translates the accounting record into the format used for electronic exchange. It carries the invoice details into the appropriate fields; it should not change the agreed sale, tax treatment or document total.
| Information in Acumatica | What to match in Azdan |
|---|---|
| Reference Nbr., Date and Due Date | The final invoice number, issue date and due date. Use the issued number rather than a draft reference. |
| Company, branch, Customer and Location | The correct seller and buyer, legal names, addresses and electronic delivery identifiers. |
| Details, discounts and Taxes | Descriptions, quantities, units, prices, discounts and the taxable amounts. |
| Currency, tax total and invoice amount | The invoice currency, tax breakdown and original document total. |
| Order references and payment terms | The customer purchase order, other required references and agreed payment information. |
Azdan validates the document before delivery. If a required value is missing or the figures do not reconcile, use the validation message to identify what needs correcting. A PDF is a readable copy; the connection also sends structured invoice data.
6. Find the invoice in Azdan
Open Invoicing > Transactions > Outbound in the Azdan portal. Search using the Acumatica Reference Nbr.. Open the matching transaction.

- Confirm the selling company and buyer before comparing amounts. The same number may appear in more than one company or document series.
- Match the invoice date, currency, VAT and document total. Compare the original invoice amount, rather than the remaining customer balance after payments or credits.
- Keep the Azdan transaction reference with the invoice so colleagues can find the same record.
If you cannot find it, clear restrictive filters and check that the Acumatica invoice completed its required approval and release. If it remains missing after your normal processing interval, give the administrator the company, invoice number and release time. Keep the original invoice; creating a second one can duplicate the sale.
7. Review delivery, the receiver response and FTA reporting
Open the transaction details and read each outcome separately. A successful result in one stage does not close an issue in another stage.

| Result | What to check |
|---|---|
| Validation | Passed means Azdan’s document checks passed. For a failure, read the field, rule or amount identified in the message. |
| Delivery (AS4) | Delivered confirms delivery to the receiving provider. It does not confirm buyer approval or payment. |
| Receiver response (MLS) | Read the response and any reason supplied. Technical acceptance is separate from commercial approval of the invoice. |
| FTA Reporting (TDD) | Review the reporting result and available response details. Reported means tax data was sent; that label alone does not establish FTA acceptance. |
The results may arrive at different times. Retain the available invoice, response and reporting records under your company’s filing process. Record any outstanding result and who will follow it up.
8. Resolve an exception without duplicating the invoice
In Azdan Transactions, open Filters, choose Failed or rejected, set the date range and apply the filter. Review In progress separately. Open an affected transaction and read its message before taking action.

- Incorrect customer or invoice information: Compare the named field with Acumatica. Updating a customer master does not necessarily change an invoice already issued or prepared for sending.
- Failure before delivery: Have the accounting owner approve the correction, check whether any attempt already reached the receiving provider, then use your configured correction and retry process.
- Still in progress: Allow scheduled processing and automatic retries to complete. Avoid repeated submissions. Escalate a stalled transaction with its invoice number, Azdan reference, exact message and time.
- Receiver or FTA rejection: Assign the message to the responsible colleague and follow the required correction route. A delivered invoice can still have an unresolved receiver or reporting result.
Do not delete, cancel or recreate a posted Acumatica invoice simply to refresh an e-invoicing result. If the original accounting document must change, the finance owner should decide whether a credit note or another approved correction is required.
9. Create, release and apply a credit memo
Open the original released invoice in Invoices and Memos. For a reversal, use More (…) > Corrections > Reverse. Review the resulting Credit Memo before releasing it. On Financial, check Original Document to confirm the source invoice.
For a partial reduction, keep only the approved credit amounts and review the tax treatment. Record the correction reason. If your company creates a credit memo manually, ensure that the original invoice number is recorded in the field used by the Azdan connection; a description alone may not supply that reference.
For a stock return from a sales order, follow the configured returns process as well. An AR credit memo alone is not evidence that the goods have been received back into inventory.

Save, complete approval if required, then use Remove Hold and Release. Use the credit memo’s own reference when checking Azdan. Confirm its original-invoice reference, credited amount, VAT and all four processing results.
To apply a released credit to an open invoice, select Apply on the credit memo. In Payments and Applications (AR302000), add the invoice under Documents to Apply, check the application amount and date, then Release the application. Review Application History to confirm the allocation.

If you use Reverse and Apply to Memo instead, Acumatica prepares the credit and its application together; review them before release. For an already settled invoice, ask the receivables owner to review the existing payment and intended refund or credit allocation. E-invoice delivery does not move money.
10. Return to the original Acumatica invoice
Return to Invoices and Memos (AR301000), choose the original document type and search its Reference Nbr.. Review the matching invoice and its returned integration information.
Use Applications to check settlement and Financial for the accounting batch. The standard Open and Closed statuses describe the receivable; the Azdan outcomes describe electronic processing.
- Match the company, buyer, invoice number, currency, VAT and original total to the Azdan transaction.
- Open the integration result fields, linked record, note or attachment used by your company. Check the Azdan reference, latest outcomes and last update time.
- If the returned information is missing or older than Azdan, ask the administrator to investigate the return update. Keep the transaction reference and latest portal result available.
- Check any related credit note under its own number. Review payment, allocation and refund records separately from electronic delivery.
Finish the review when the accounting record and Azdan transaction match, the amounts agree, the returned results have been checked and every unresolved issue has an owner.
The public Acumatica screens in this guide show standard accounting functions. Your company’s existing configuration determines the release action and where Azdan results appear.
