Focus 9 UAE E-Invoice processing with Azdan

Prepare and authorize a Focus 9 sales invoice, follow its progress in Azdan UAE E-Invoice, then return to the original voucher to complete your checks.

For accountants and accounts receivable teams · Updated 8 November 2026

Your connection, invoice release rules and return of results are already set up. This guide uses the Focus 9 web interface. Public screenshots show a demonstration invoice list and USD invoice; menu names, voucher types and tax fields can differ in your company’s configuration. Follow your approved UAE tax treatment.

1. Open Sales Invoices

Open Financials > Transactions > Sales > Sales Invoices. Under All Vouchers, find the existing invoice or select New. Use the list search and date filters to check for an invoice already raised for the sale.

If the sale starts from an order or delivery, follow the linked workflow already used by your company. Check the source reference so that the invoice does not duplicate a document created by another team.

2. Check the customer, dates and currency

Open the voucher and review Customer Account, Document No., Date, Due Date, Currency and Payment Terms. Confirm the company, sales account and department where applicable.

  • Confirm the legal customer name, billing address, tax registration and electronic delivery identifier in the records used by your connection. An email address alone is not the electronic delivery identifier.
  • Check the agreed customer purchase order and delivery references. Review the invoice after any customer-master change.
  • Confirm the currency and any exchange rate required for the transaction. Keep the document number and voucher type together when following it through Azdan.

3. Review items, tax and stock treatment

Check the item, unit, quantity, rate and discount for each row against the approved sale. Review the invoice’s tax detail and reconcile the taxable amount, VAT and final payable total. Your UAE voucher may include tax columns that are not present in the USD example above.

Check Update Stock and the warehouse. Use a stock movement only when this voucher should record it; an earlier delivery may already have done so. A service invoice or value-only adjustment should follow its own configured treatment.

Review Raise Receipt separately. Issue a receipt only for money actually received under your normal accounting process. Sending an electronic invoice does not require recording a payment.

  • Confirm whether agreed prices include or exclude tax and whether discounts affect the tax calculation.
  • Check each line with a different tax treatment. Use the approved tax code for the transaction rather than assuming every sale has the same rate.
  • Compare the original invoice total with Azdan later. A customer’s remaining balance can include payments, credits and other invoices.

4. Save and complete authorization

Select Save. Review Auth History to check the voucher’s approval history. Where authorization is required, the authorized reviewer selects the voucher in the list and uses Authorize. Complete all levels required by your company before release.

Check whether the voucher is suspended, cancelled, rejected or still awaiting approval. A saved record can still be ineligible for sending. Your configured workflow determines which accounting state releases the invoice to Azdan.

Keep the voucher number, type, company and release time. Printing the invoice, exporting XML or emailing a PDF does not establish that Azdan received it.

5. Let the connection prepare the e-invoice

After the configured approval and release, your existing connection prepares the electronic document from Focus 9. You continue to work with the original invoice. Do not enter the same sale again in Azdan.

The connection translates the accounting record into the format used for electronic exchange. It carries the invoice details into the appropriate fields; it should not change the agreed sale, tax treatment or document total.

Information in Focus 9What to match in Azdan
Document No., voucher type and datesThe final invoice number, issue date and due date. Use the issued number rather than a draft reference.
Company and Customer AccountThe correct seller and buyer, legal names, addresses and electronic delivery identifiers.
Item rows, quantities, rates and discountsDescriptions, quantities, units, prices, discounts and the taxable amounts.
Currency, tax breakdown and invoice totalThe invoice currency, tax breakdown and original document total.
Order references and payment termsThe customer purchase order, other required references and agreed payment information.

Azdan validates the document before delivery. If a required value is missing or the figures do not reconcile, use the validation message to identify what needs correcting. A PDF is a readable copy; the connection also sends structured invoice data.

6. Find the invoice in Azdan

Open Invoicing > Transactions > Outbound in the Azdan portal. Search using the Focus 9 invoice document number. Open the matching transaction.

Azdan Transactions: use Outbound, Search and Filters to find a sent invoice. This reference account has no outbound transactions.
Azdan Transactions: use Outbound, Search and Filters to find a sent invoice. This reference account has no outbound transactions.
  • Confirm the selling company and buyer before comparing amounts. The same number may appear in more than one company or document series.
  • Match the invoice date, currency, VAT and document total. Compare the original invoice amount, rather than the remaining customer balance after payments or credits.
  • Keep the Azdan transaction reference with the invoice so colleagues can find the same record.

If you cannot find it, clear restrictive filters and check that the Focus 9 invoice completed its required approval and release. If it remains missing after your normal processing interval, give the administrator the company, invoice number and release time. Keep the original invoice; creating a second one can duplicate the sale.

7. Review delivery, the receiver response and FTA reporting

Open the transaction details and read each outcome separately. A successful result in one stage does not close an issue in another stage.

ResultWhat to check
ValidationPassed means Azdan’s document checks passed. For a failure, read the field, rule or amount identified in the message.
Delivery (AS4)Delivered confirms delivery to the receiving provider. It does not confirm buyer approval or payment.
Receiver response (MLS)Read the response and any reason supplied. Technical acceptance is separate from commercial approval of the invoice.
FTA Reporting (TDD)Review the reporting result and available response details. Reported means tax data was sent; that label alone does not establish FTA acceptance.

The results may arrive at different times. Retain the available invoice, response and reporting records under your company’s filing process. Record any outstanding result and who will follow it up.

8. Resolve an exception without duplicating the invoice

In Azdan Transactions, open Filters, choose Failed or rejected, set the date range and apply the filter. Review In progress separately. Open an affected transaction and read its message before taking action.

  • Incorrect customer or invoice information: Compare the named field with Focus 9. Updating a customer master does not necessarily change an invoice already issued or prepared for sending.
  • Failure before delivery: Have the accounting owner approve the correction, check whether any attempt already reached the receiving provider, then use your configured correction and retry process.
  • Still in progress: Allow scheduled processing and automatic retries to complete. Avoid repeated submissions. Escalate a stalled transaction with its invoice number, Azdan reference, exact message and time.
  • Receiver or FTA rejection: Assign the message to the responsible colleague and follow the required correction route. A delivered invoice can still have an unresolved receiver or reporting result.

Do not delete, cancel or recreate a posted Focus 9 invoice simply to refresh an e-invoicing result. If the original accounting document must change, the finance owner should decide whether a credit note or another approved correction is required.

9. Record and follow a credit note

First open the original sales invoice and confirm the amount being reduced. Use your company’s configured customer credit-note or sales-return voucher. The voucher name and menu path are company-specific; use the type already mapped to credit notes in your Azdan connection.

  • Select the same customer and appropriate company. Record the original invoice number, correction reason and approved credit date.
  • For a partial credit, include only the quantity or amount being reduced. Check the tax calculation and credit total against the approved adjustment.
  • Confirm the sign convention for this voucher type. A credit voucher may already reverse the accounting direction; do not enter a negative value simply because another system uses negative credit amounts.
  • Review stock treatment separately for returned goods. Avoid receiving the same items through both a return document and the credit voucher.
  • Save the credit, complete its required authorization and release it through the configured connection.

Search Azdan using the credit note’s own number. Confirm the original invoice reference, customer, currency, credited VAT and total, then check validation, delivery, the receiver response and FTA reporting.

Review the customer account to confirm the credit’s intended allocation. Handle any refund separately. Do not remove the original invoice after creating a credit note; retain both records and their Azdan references.

10. Return to the original Focus 9 invoice

Return to Sales Invoices > All Vouchers. Find the original voucher number, open it and compare the document with the Azdan transaction. Use Auth History for accounting approval history and the configured integration information for electronic processing.

The voucher’s authorization, suspended and cancelled indicators belong to the Focus workflow. They do not replace the four outcomes checked in Azdan.

  • Match the company, buyer, invoice number, currency, VAT and original total to the Azdan transaction.
  • Open the integration result fields, linked record, note or attachment used by your company. Check the Azdan reference, latest outcomes and last update time.
  • If the returned information is missing or older than Azdan, ask the administrator to investigate the return update. Keep the transaction reference and latest portal result available.
  • Check any related credit note under its own number. Review payment, allocation and refund records separately from electronic delivery.

Finish the review when the accounting record and Azdan transaction match, the amounts agree, the returned results have been checked and every unresolved issue has an owner.

The public Focus 9 screens in this guide show standard accounting functions. Your company’s existing configuration determines the release action and where Azdan results appear.
