In most industries, master data is set up once and maintained when something changes. In food and beverage, a surprising share of it carries a date that something else depends on: the expiry on a supplier's certification, the expiration date on a lot, the effective date on a recipe revision, the delivery days on a route. Each of those dates is set in one process area and enforced in another, which is why this edition rewards being read as one system rather than as fourteen separate checklists. This is the leading practice reference for food and beverage companies: every process area, the flow it follows, the rules that govern it, and a copy-ready skill file for each one.
How to Use This
Each process area below carries three things. A flow, which is the sequence the process actually runs in. A short set of rules specific to food and beverage companies rather than generic ERP advice. And a skill file you can copy straight out of the page, written as markdown so it can be handed to an AI assistant, dropped into a project repository, or used as the basis for a design document.
The skill files are deliberately short. They are checklists for people who already know the domain, not tutorials. Each one names the roles that own the process, the flow, the rules, what to verify before go-live, and the failure modes that recur.
Methodology note. This reflects the Food and Beverage Standard edition as applied by Azdan across its NetSuite delivery in the UAE, Saudi Arabia, and Egypt. Module availability differs by edition and license, so confirm against your own before treating any rule as available. Where a point is a recommendation from delivery experience rather than a documented rule, it is labeled as one.

1. Master Data Management
Accounts, customers, vendors, employees and items. Food adds a record most industries skip: the vendor's certifications, each with its own expiry date.
Define segments → Load accounts → Load customers and delivery addresses → Load vendors and certifications → Create employees and roles → Validate
Leading practice rules
Master data must be maintained before process area transactions can be carried out.
Leads, prospects and customers share one customer record, distinguished by its Status field.
Record vendor certifications, regulatory, health and safety, and halal where it applies, on the vendor's Certification tab, and follow up with the Expiring Vendor Certifications reminder.
Recommendation: load each delivery address with its route, because an address without a route cannot be given a ship date.

# Master Data Management - Food and Beverage
## Roles
Purchasing Manager, Controller, Inventory Manager, Administrator
## Process flow
Define segments → Load accounts → Load customers and delivery addresses → Load vendors and certifications → Create employees and roles → Validate
## Leading practice rules
- Master data must be maintained before process area transactions can be carried out.
- Leads, prospects and customers share one customer record, distinguished by its Status field.
- Record vendor certifications, regulatory, health and safety, and halal where it applies, on the vendor's Certification tab, and follow up with the Expiring Vendor Certifications reminder.
- Recommendation: load each delivery address with its route, because an address without a route cannot be given a ship date.
## Check before go-live
- [ ] Every certified vendor carries its certifications with expiry dates
- [ ] Every active delivery address assigned to a route
## Known failure modes
- Certificates kept in a shared folder, so a lapse is found at an audit, not on the reminder
## Scope note

licensed modules before treating any rule as available.
2. Item Management
Items, units, costing, pricing, allergens and the lot rules that make traceability possible. The costing method is set here and cannot be changed afterwards.
Roles: Purchasing Manager, Inventory Manager, Controller, Production Manager
Process flow
Define item strategy → Choose item type and costing → Set units of measure → Assign lot format → Add allergen statement → Set prices
Leading practice rules
Plan costing before items are created: a costing method cannot be changed once set, and neither WIP nor Advanced Manufacturing supports FIFO or LIFO.
Use lot numbered items for anything with an expiration date. A lot is then required at receipt, fulfillment and initial inventory entry.
Use Lot Auto Numbering to assign lot formats to items, with supplier lot number and manufactured date held as lot information.
Set the base unit to the smallest unit sold or stocked, with sales, purchase and stock units for goods bought by the case and sold by the each.
Use inventory status at receipt to hold stock back from commitment without separate virtual locations.
Create allergen statements by product from centrally maintained allergen types, available on the item for customers who require them.
Under standard cost, update standards and revalue inventory twice a year and for every new item.

## Check before go-live
- [ ] Every item with an expiry set up as lot numbered, with a lot format
- [ ] Costing method agreed with finance before the first item is loaded
## Known failure modes
- Supplier lot and manufactured date left optional, so stock cannot be traced to the supplier

licensed modules before treating any rule as available.
3. Procure to Pay
Buying ingredients, packaging and finished goods. Receiving is the one moment supplier lot data is cheap to capture, and the edition gives it a quarantine step.
Purchase request → Approval → Purchase order → Inbound shipment → Receive into quarantine → Release → 3-way match → Pay
Leading practice rules
Purchase requests within the requestor's limit are auto-approved. Above it, the next role up the chain approves.
Keep the original promised date on each purchase order line so vendor performance is measured against the first promise.
Inbound shipments do not accept inventory details, so lot detail for items received that way goes on the purchase order first.
Receive into a quarantine sublocation at each receiving location, so goods are reviewed before they become inventory.
Set 3-way match tolerances at subsidiary level, typically on quantity and amount billed.
Use landed cost templates for estimated landed cost at receipt. They cannot be attached to inbound shipments or drop ship orders.

## Check before go-live
- [ ] A quarantine sublocation at every receiving location
## Known failure modes
- Goods put away before lot and expiry are recorded, breaking the link to the supplier's paperwork
## Scope note
Reflects the Food and Beverage Standard edition. Confirm against your
licensed modules before treating any rule as available.
4. Plan to Produce
Turning recipes into finished lots. The recipe is a bill of materials, the formula is its revision, and yield is set on each component.
Roles: Production Manager, Production Operator, Supply Chain Manager
Process flow
Maintain recipe revision → Plan supply → Create work orders → Schedule → Release → Build and assign lots → Inspect → Rework or quarantine
Leading practice rules
Name the bill of materials after the assembly, and keep one effective revision at a time through effective start dates.
Set component yield on each revision component, so planning, work orders and commitment all account for loss.
Sequence work orders weekly with the Work Orders To Be Scheduled saved search, then Mass Release the firmed schedule.
At completion, assign component lots, create the finished lot, and record inspection results on the work order.
Enter the full quantity completed, pass or fail, then move failed units to quarantine and decide on stock, rework or scrap.
For rework, unbuild reusable components in quarantine and build a new work order there.

## Check before go-live
- [ ] One effective revision per recipe on any given date
- [ ] Component yield set for every ingredient with known loss
## Known failure modes
- Yield handled by inflating component quantities by hand, so costing and planning disagree

licensed modules before treating any rule as available.
5. Contract Manufacturing
Production through a co-packer. The edition supports two models that drive supply in opposite directions, chosen per product.
Roles: Production Manager, Supply Chain Manager, Contract Manufacturer
Process flow
Review demand → Build or contract → Turnkey or tolling PO → Supply components if tolling → Release to co-packer → Receive or drop ship
Leading practice rules
Turnkey: the co-packer sources all materials for one fee, and only a purchase order drives supply.
Tolling: the co-packer charges for labor only, so you supply the components and their stock must be visible.
Raise the tolling purchase order as a service item flagged as receivable.
Once components reach the co-packer's location, release the work orders and change their location to it.
The co-packer works in its own role, updating work orders with usage and seeing only its own transfer orders.
Recommendation: require the co-packer to record component lots consumed and finished lots produced, so traceability does not stop at its gate.

6. Lead to Quote
Selling activity, territories, lead routing, forecasts and quotas.
Sales strategy → Territories and routing → Lead → Opportunity → Quote → Sales order
Leading practice rules
Use sales territories in lead routing so new leads are assigned automatically.
Keep one opportunity per customer to protect the pipeline.
Generate the sales order from the accepted quote, and watch the Quotes Expiring This Week reminder.

7. Order to Cash
Taking, validating, fulfilling and invoicing orders, with three instruments specific to food: order guides, the call list, and fill or kill.
Order guide → Sales order → Validate → Route ship date → Pick → Pack station → Ship → Invoice with fill or kill → Collect
Leading practice rules
Use order guides, lists of items a customer orders regularly, in four types: historical, default, customer and template.
Use template guides, assigned to many customers, for promotions, weekly flyers and chain accounts limited to specific items.
Use the Call List Update saved search to find customers due a delivery tomorrow who have not ordered.
Hold orders in Pending Approval to avoid committing stock, and offer substitute items when stock is short.
Backordered lines close at invoicing unless the item is on the customer's Fill Kill exception list.
Record customer deductions as credit memos through Deduction and Chargebacks when applying payments.

8. Route Delivery Management
Routes, stops, delivery days and trucks, which together decide the ship date on every order.
Set up routes and stops → Register trucks → Assign routes to delivery addresses → Ship date on order → Manage route shipments → Pick by route
Leading practice rules
Set up routes per shipping location, with stops, delivery days and delivery time windows.
Record each truck's payload and whether it carries ambient, refrigerated or frozen loads.
Assign routes by customer delivery address. The ship date then comes from the route's delivery days and the location's order cut-off, and can be overridden.
Without a route on the address, no ship date can be assigned and the order cannot be fulfilled.
Route, ship date and delivery address sit at sales order header level, not line level.
Route pick tickets need Multiple Shipping Routes enabled.

9. Return to Credit
Customer returns, credits and refunds. The restock default should match what actually happens to returned food.
Support case → Return authorization → Approve → Receive or write off → Credit memo → Apply or refund
Leading practice rules
Where returns need criteria met, create a support case first and the return authorization from it.
Set the Restock preference to what usually happens, and uncheck line-level restock to scrap at receipt.
Generate credit memos and refunds from the return to keep the audit trail.

12. Call to Resolution
Customer cases, including quality complaints that may need tracing back to a lot.
Roles: Customer Service, Chief Executive Officer
Process flow
Create case → Link to order → Escalate → Merge → Resolve → Analyze
Leading practice rules
Link the case to the sales order or invoice, and create returns from the case.
Escalating does not raise priority or reassign. Merging needs Full Duplicate Case Management.

Where to Start
Start with item management and master data together, because two decisions made there shape everything after them: the costing method on the item, which cannot be changed once set, and whether the item is lot numbered with a lot format assigned, which every receipt and fulfillment then depends on. Procure to pay follows, because receiving is the only cheap moment to capture supplier lot data. Plan to produce and contract manufacturing come next, designed as one decision about where each product is made. Route delivery management has to be loaded before the first order is taken, because without a route on the delivery address no ship date can be assigned. The selling, returns, support and finance processes run alongside.
Once the system is running, the highest-value habit is reviewing the dated records on a fixed cycle: expiring vendor certifications, lots approaching expiry, the effective recipe revision, and the standard cost update. Recommendation: put all four on one monthly checklist with a single named owner, because each is set in a different process area and nobody owns them together unless someone is told to. The lot-level view of the chain, including two-way traceability and stock aged by remaining shelf life, is covered in the companion end-to-end guide.
