Sage Intacct UAE E-Invoice processing with Azdan

Review and issue an invoice in Sage Intacct, track it in Azdan UAE E-Invoice, then return to the original accounting record to finish your checks.

Sage Intacct cloud · Accounts Receivable · For accountants · Updated 8 November 2026

The connection is already set up. This guide follows Accounts Receivable invoices in the cloud application. Use the invoice already created by your sales, project or service process when one exists. The invoice screens come from Sage’s public 2026 tutorial, captured at 1920 × 1080. They show the Keyword demonstration company and a US customer. Your company’s tax fields, currency and enabled options can differ.

Select a screenshot to open it at full resolution.

Follow your company’s existing approval, e-invoice release and result-recording process. The screenshots show the accounting screens; the Azdan release action and returned-result fields depend on your company’s configuration.

1. Find the invoice in Accounts Receivable

Select the selling entity, then open Applications > Accounts Receivable > All > Invoices. Search for the customer or invoice number. If an invoice already exists, open it; use Create on the enhanced list, or the plus beside Invoices, only for a sale that has not been invoiced.

Sage Intacct Accounts Receivable menu. Invoices opens the list; the plus starts a new invoice. Adjustments and Posted payments are in the same menu.

Keep invoices produced by Order Entry, Contracts or Projects in their original billing process. An A/R entry does not replace an inventory shipment or project-billing transaction.

2. Check the customer, dates and references

  • Confirm Customer, Bill to and Ship to. Match the legal buyer and address to the sale, and check the tax registration and delivery information used by your connection.
  • Review Date, GL posting date, Term and Due date. A different posting date can place the entry in a different accounting period.
  • Keep the assigned invoice number. Enter the customer purchase order or billing reference in Reference number, and add supporting documents through Attachment.
  • For a foreign-currency invoice, review the transaction currency and exchange-rate details shown in your company. Use the approved rate and date.

3. Review entries, tax and the invoice total

In Entries, check the revenue account or account label, amount, memo and required dimensions, including Department and Location. Use Show details for additional line information. Confirm that the coding and selling entity match the underlying sale.

Entries in the same invoice: revenue account, amount, Department and Location. The open Department list illustrates line coding in the cloud interface.

Review the tax details and calculated VAT wherever they appear in your configured invoice. Check discounts, exempt or zero-rated items and the final total against the approved bill. The US tutorial does not display UAE VAT fields.

Direct A/R entries are accounting lines. For item quantities, unit prices or service details supplied by another billing module, review that source record too. Make sure the details used for the e-invoice describe what was actually sold.

4. Post the invoice and keep its final number

If the invoice needs more work, choose Draft. When the review and any required approval are complete, use Post or Post and new. Resolve any validation message before releasing the invoice to the connection.

The Post and new menu offers Post. Draft and new saves an unfinished entry. These are Intacct accounting actions.

Open the invoice after posting. Check State = Posted, the final invoice number and original total. The tutorial’s completed example is INV0037 for USD 4,500.00; those values are sample data.

Follow your company’s existing e-invoice release. Printing or emailing an invoice in Intacct is a separate action from sending its structured data through Azdan.

5. Let the connection prepare the e-invoice

After the configured invoice release, your existing connection prepares the electronic document from Sage Intacct. You continue to work with the original invoice. Do not enter the same sale again in Azdan.

The connection translates the accounting record into the format used for electronic exchange. It carries the invoice details into the appropriate fields; it should not change the agreed sale, tax treatment or document total.

Information in Sage IntacctWhat to match in Azdan
Invoice number, invoice date and due dateThe final invoice number, issue date and due date. Use the issued number rather than a draft reference.
Entity, customer and bill-to/ship-to contactsThe correct seller and buyer, legal names, addresses and electronic delivery identifiers.
Entries and the underlying billing descriptions, quantities and tax detailsDescriptions, quantities, units, prices, discounts and the taxable amounts.
Transaction currency, tax breakdown and original invoice totalThe invoice currency, tax breakdown and original document total.
Order references and payment termsThe customer purchase order, other required references and agreed payment information.

Azdan validates the document before delivery. If a required value is missing or the figures do not reconcile, use the validation message to identify what needs correcting. A PDF is a readable copy; the connection also sends structured invoice data.

6. Find the invoice in Azdan

Open Invoicing > Transactions > Outbound in the Azdan portal. Search using the Sage Intacct invoice number, together with the selling entity. Open the matching transaction.

Azdan Transactions: use Outbound, Search and Filters to find a sent invoice. This reference account has no outbound transactions.
Azdan Transactions: use Outbound, Search and Filters to find a sent invoice. This reference account has no outbound transactions.
  • Confirm the selling company and buyer before comparing amounts. The same number may appear in more than one company or document series.
  • Match the invoice date, currency, VAT and document total. Compare the original invoice amount, rather than the remaining customer balance after payments or credits.
  • Keep the Azdan transaction reference with the invoice so colleagues can find the same record.

If you cannot find it, clear restrictive filters and check that the Sage Intacct invoice completed its required approval and release. If it remains missing after your normal processing interval, give the administrator the company, invoice number and release time. Keep the original invoice; creating a second one can duplicate the sale.

7. Review delivery, the receiver response and FTA reporting

Open the transaction details and read each outcome separately. A successful result in one stage does not close an issue in another stage.

Azdan reference illustration: validation, delivery, the receiver response and FTA reporting are separate results.

ResultWhat to check
ValidationPassed means Azdan’s document checks passed. For a failure, read the field, rule or amount identified in the message.
Delivery (AS4)Delivered confirms delivery to the receiving provider. It does not confirm buyer approval or payment.
Receiver response (MLS)Read the response and any reason supplied. Technical acceptance is separate from commercial approval of the invoice.
FTA Reporting (TDD)Review the reporting result and available response details. Reported means tax data was sent; that label alone does not establish FTA acceptance.

The results may arrive at different times. Retain the available invoice, response and reporting records under your company’s filing process. Record any outstanding result and who will follow it up.

8. Resolve an exception without duplicating the invoice

In Azdan Transactions, open Filters, choose Failed or rejected, set the date range and apply the filter. Review In progress separately. Open an affected transaction and read its message before taking action.

  • Incorrect customer or invoice information: Compare the named field with Sage Intacct. Updating a customer master does not necessarily change an invoice already issued or prepared for sending.
  • Failure before delivery: Have the accounting owner approve the correction, check whether any attempt already reached the receiving provider, then use your configured correction and retry process.
  • Still in progress: Allow scheduled processing and automatic retries to complete. Avoid repeated submissions. Escalate a stalled transaction with its invoice number, Azdan reference, exact message and time.
  • Receiver or FTA rejection: Assign the message to the responsible colleague and follow the required correction route. A delivered invoice can still have an unresolved receiver or reporting result.

Do not delete, cancel or recreate a posted Sage Intacct invoice simply to refresh an e-invoicing result. If the original accounting document must change, the finance owner should decide whether a credit note or another approved correction is required.

9. Create a credit for the original invoice

Review the original invoice, earlier credits and payments before preparing a correction. For a direct A/R credit, open Accounts Receivable > All and select the plus beside Adjustments. Choose the same customer and Type = Credit memo. A Debit memo increases the amount the customer owes.

  • Enter the adjustment date, GL posting date and reason. Keep its assigned adjustment number, or the approved number required by your company.
  • In Reference invoice number, select the original invoice. Check that your connection carries that reference into the credit note sent to Azdan.
  • Review the currency, accounts, dimensions, credited amounts and tax. The selected memo type determines whether the adjustment increases or reduces the debt; check the final sign and total before posting.
  • Save as Draft if review is outstanding. When approved, Post the credit and retain its own document number.

Sage: create an A/R adjustment

The Reference invoice number identifies the invoice being corrected; it does not allocate the credit against that invoice. Complete the separate credit-application process when required, and verify the remaining customer balance.

Sage: apply an A/R credit to an invoice

For an Order Entry return or a Contracts or Projects correction, use that module’s approved credit process. Confirm that the resulting credit document is included in the existing connection before release.

Complete the required review and release the credit through the existing Sage Intacct connection. Search for its own number in Azdan, confirm the original invoice reference and credited amounts, then repeat the status checks in steps 6–8. Keep both documents and their results together. Applying a credit to the customer balance or issuing a refund is a separate accounting task.

10. Return to the original Sage Intacct invoice

Return to Accounts Receivable > All > Invoices. Filter by the final invoice number and open the original record. Check the invoice total separately from Amount paid and Amount due.

  • Match the company, buyer, invoice number, currency, VAT and original total to the Azdan transaction.
  • Open the integration result fields, linked record, note or attachment used by your company. Check the Azdan reference, latest outcomes and last update time.
  • If the returned information is missing or older than Azdan, ask the administrator to investigate the return update. Keep the transaction reference and latest portal result available.
  • Check any related credit note under its own number. Review payment, allocation and refund records separately from electronic delivery.

Finish the review when the accounting record and Azdan transaction match, the amounts agree, the returned results have been checked and every unresolved issue has an owner.

The public Sage Intacct screens in this guide show standard accounting functions. Your company’s existing configuration determines the release action and where Azdan results appear.
