Reviewing occupancy rent collections and lease expiries

Before you begin

Confirm the date basis, property scope, subsidiary, currency, and meaning of each report measure before comparing results.

Procedure

  1. Use Occupancy Status By Property to review units grouped by property and status. Drill into the source units when investigating a count.
  2. Use Expiring Contracts and Tenancy Contract End Date After Month to identify upcoming renewal or exit work.
  3. Use Outstanding Charges and Lease Charge To Be Invoiced Within Month to separate collection follow-up from billing preparation.
  4. Use Yearly Lease Charge and Charge Collections By Type to review the schedule and collections by charge category.
  5. Review Active Unit Holding Request and Unit Vacancy Loss where applicable to the property portfolio.
  6. Reconcile report exceptions to contracts, unit records, charges, invoices, and payments before taking action.

Result

Property managers can prioritize renewals, billing, collections, and vacant-unit follow-up using source records.

Important

The observed occupancy report percentage is a share of the total counted units in the result. It is not automatically the occupancy rate of an individual property. Define the denominator before calculating a property occupancy percentage.
