Guide and reference
Resolving common workflow issues
Most workflow issues can be narrowed down by checking the source record, current status, required evidence, filters, and role access before repeating an action.
Navigation: Open the affected record and its related approval, posting, or operational history.
Before you begin
Retain the record number, action attempted, visible message, date, and expected outcome. Avoid creating duplicate records while investigating.
Procedure
- Confirm that you are working on the correct record, property, unit, customer, and subsidiary.
- Check the current status and required preceding stage. Review approval, workflow, and related-record history.
- Review required fields, documents, ownership totals, payment-plan totals, and calculation inputs relevant to the record.
- For a missing result, review filters, role access, inactive status, and related records.
- For financial discrepancies, reconcile receipt, allocation, charge, invoice, cheque, and posting records separately.
- Escalate with the record reference and evidence when the issue requires configuration or a correction outside your authority.
Result
The next action addresses the cause of the issue and preserves the audit trail.
Important
Before retrying a generation, posting, or creation action, check whether it already produced a related record. A delayed screen update does not establish that processing failed.
Reservation unavailable for a sales contract
Check that it is approved and does not already have a contract.
Receipt posted but balance still appears due
Review allocation, unapplied money, reporting date, related invoices or charges, and cheque clearance before entering another receipt.
Handover stage cannot be completed
Review required documents and stage-specific evidence, then check responsibility and role access.
Move-in approved but readiness is incomplete
Review mandatory checklist tasks and access-release conditions separately from request approval.
Lease charge exists without an invoice
Review its status and the configured billing process. A Draft charge is a scheduled obligation, not proof of invoicing.
Maintenance request approved but work remains open
Follow the work-order link and review assignment, scope, execution, and verification status.
